Replying to repair shop reviews without making it worse

Practical reply habits for service managers who live in the bay all day.

Answer the recent service reviews first

Name the issue in plain language (wait time, parts delay, comeback) and say what you changed. Do not argue about the estimate in public.

Keep RO details offline

Never post a customer’s name, vehicle identifiers, invoice notes or diagnosis in a reply. Invite them to call the advisor.

Report only clear policy breaks

Wrong-business reviews, spam and posts with private data may qualify. A one-star review about your warranty policy usually does not.

Ask every ticket, not only happy ones

A short feedback ask on every closed repair order is fair. Asking only customers you expect to praise you is review gating and is not allowed.
